Throughout the rest of this document, the terms ‘UCCF’, ‘us’ and ‘we’ refer to the entity described above. The term ‘you’ refers to the user or viewer of this website.

UCCF website account
You may need a UCCF website account in order to access some content and use certain functions made available on this website. You can create your UCCF website account by completing our online form, or we may issue you with an account.
Your UCCF website account, and the data held within, is secured by your password. Do not disclose this password to anyone and be sure to log out when using a public or shared computer.

Website account holders may be eligible to receive discounts from our partner organisations. Discounts are only available to students currently studying in Further or Higher Education within Great Britain.

Information held and its use by UCCF
You may use the UCCF website as either a logged in UCCF website account holder, or as a logged out user (with or without a website account). Further information about the way your data is handled in each of these situations is found below.
UCCF website account holders
What information do we hold about you?
The following information is collected and held when creating an account on the UCCF website.
For everyone:
- Your title, first name and surname
- Some contact details: email address and phone number
For current/prospective UK students:
- Place and subject of study
- Course length and graduation year
- CU Committee position
For others, where applicable
- Place and subject of study
- Graduation year
You may also provide us with your Home and Term addresses after you sign up – these details will be stored along with the rest of your account data.
How will we use the information we hold?
We’ll hold your data to administrate your UCCF website account, and in relation to any activity you carry out while using the UCCF website as a logged in user. When you are logged out, we do not associate your personal data with your website usage.
We will use your details to save asking you again for data you’ve already given us during the course of carrying out activity on the UCCF website. For example, we might need to use your email address for the purposes of administrating a conference, but we won’t ask for it again when you book.
We may use the information you provide, such as your course or CU involvement, to provide you with personalised content when logged in to the UCCF website.
We will add your details to our supporter database and may occasionally contact you by post or email about other aspects of our work. You can opt out of this contact at any time.
If you’re a UK student, we’ll send you regular emails about UCCF, our resources and our work across the country. You can opt out of these emails by managing your mailing preferences on the UCCF website. We’ll need to pass limited information to our partners to check your eligibility for discounts.
Non-logged in website users
What information do we hold about you?
Non-logged in users are not associated with any personal data during normal viewing of the website. You may however choose to give us some information by completing an online form. The information we hold will be made clear by the nature of the form submitted.
How will we use the information we hold?
We will only use information that you voluntarily give us by completing an online form. The way that we use the information gathered will be made clear by the nature of the form you complete.
Unless you opt out, we may also add your details to our supporter database and occasionally contact you by post or email about other aspects of our work. You can opt out of this contact at any time.

Student Linkup
As well as creating your UCCF website account, we’ll pass your name and email address on to the CU, or our local CU Staff Worker so that they can link you up.
Contact forms
Messages sent through the contact forms on the website are stored and is accessible to the webmaster in order to monitor for misuse. The content is treated as strictly confidential.
Third parties
UCCF will not pass on your personal information to any other person or organisation except in direct connection to the reason you provided it to us, where you have given express permission, or when we are obliged to by law. Note that where you are eligible for a discount scheme, we will need to pass on limited details on to the relevant partner organisations to administrate this.
Storing your data
The data that we hold, as described above, is securely stored in our website and supporter databases. Access to data is restricted and limited to those that need it. We don’t store personal information for longer than we need to.
Access to and correction of your personal information
You have a right to know about the personal information UCCF holds about you. You also have a right to have your data corrected or deleted if it is being held inappropriately. Please address all your requests and/or queries about this policy to the Data Protection Officer at our main office.

Session cookie
We use a session cookie to enable certain features of our website, especially the ability to remain logged in and to use our various booking and order forms. A session cookie stores a unique identifier that allows this website (and no other) to track you as you move between pages. It does not contain any information that is personally identifiable. Session cookies are removed when you close your web browser or when you have been inactive for approximately 20 minutes.
Persistent Login
You may request that the UCCF website remembers you when logging in. This means that the website will recall a limited amount of information (name, university, year of course and any CU involvement) about you when you return later. Using this function places a cookie on your computer to identify you when you return.
Shopping Basket
When placing items in the UCCF shopping basket and using the checkout, we place a cookie to identify your order.
Google Analytics
UCCF use Google Analytics to analyse how our visitors engage with the website. Google Analytics places cookies to track your use of this website, but does not collect any information that can identify you personally to UCCF or Google.
The UCCF website does not place cookies which attempt to track your use of any other websites or services. Cookies placed by the UCCF website cannot be accessed by any third party website.
